Administrative Manager

Summary:  Manage and coordinate daily office activities of Grab N’ Grow Soil Products including customer sales support, staff management, record keeping, and reporting.

Essential Functions:                                                                                                                               

  • Provide courteous and timely sales support to customers both on site and via telephone; engage Operations and Sales Team when needed
  • Assist customers in identifying product and quantities needed for projects; provide product specifications to ensure product meets the requirements of the job site; send sample materials when requested
  • Provide quotes taking into consideration payment type and history, location of the job, when job bids and start dates; convert quotes into orders
  • Provide timely resolution to customer complaints, concerns and issues. Engage senior Operations and Sales Team when necessary
  • Coordinate, direct and supervise daily activities of the administrative staff
  • Review and approve time cards for correct codes and accurate hours in a timely manner
  • Provide day-to-day guidance and oversight of subordinates; actively work to promote and recognize performance; provide annual evaluations
  • Oversee all functions of the Weighmaster and perform back up responsibilities as necessary
  • Answer and screen telephone calls in a professional and timely manner when necessary
  • Provide administrative support to senior managers and yard staff
  • Participate in the Administrative Manager staff meeting; partner with administrative managers to establish, modify, implement and monitor systems and procedures to enhance timely and effective workflow
  • Develop and monitor annual site budge; ensure site activities are completed within budget; initiate cost reduction programs where feasible
  • Oversee and manage office petty cash fund
  • Assist, input and review inventory for accuracy
  • Assist in Stormwater reporting and order supplies
  • Ensure company policies and procedures are adhered to; communicate to senior management when necessary
  • Ensure workplace injury reporting procedures are followed timely and thoroughly and advise appropriate management of injuries
  • Ensure timely compliance reporting to various agencies; report any variance or issues to senior management
  • Interest and experience in gardening is desirable
  • Bilingual in Spanish is desirable.

Production Worker

Summary: Responsible for providing safe, efficient and effective production of materials, including on-going operation and maintenance of plant, equipment, and yard. Reports to Production Manager.

Essential Functions:

  • Operations
    • Perform production activities and reporting to meet or exceed established production goals.
    • Operate plant and heavy equipment correctly, safely and efficiently according to standard operating procedures.
    • Perform daily visual and audio inspection of emergency stop, 2-way radio checks and ensure heavy equipment area is clean and area is clear of obstacles.
    • Identify, and communicate opportunities for continuous improvement.
  • Maintenance
    • Complete daily equipment inspections and any other required paperwork.
    • Perform monthly and annual equipment inspections and light maintenance.
  • Safety
    • Attend monthly safety meetings and maintain CPR certification.
    • Participate in annual MHSA refresher safety and training course (Part 46).
    • Communicate all production and safety concerns to Supervisor and alert co-workers in a timely manner.
    • Maintain and ware all personal protective equipment and report any issues to a Supervisor.
    • Operate all machinery and equipment in a safe and responsible manner according to the standard operating procedures or training.
  • Best Practices
    • Provide input for process and policy improvements.
    • Assist in implementing process and policy improvement in support of organizational goals.
    • Maintain and wear all personal protective equipment and report any issues with Supervisor.
